Steps for aligning internal communications for delivery
As your projects move into delivery, there are several communication elements that should be aligned prior to launch. In this blog we highlight some key areas to consider in collaboration with other project leads, the Town Deal Board and the council communication Teams, so you can continue to focus on successful delivery.
Proactive internal engagement
When preparing for project delivery, you should be proactive about your internal communications and engagement to convey project milestones ahead of external project announcements.
By bringing your internal teams into the planning early you can prevent delays to essential external communications. This is also a great opportunity to keep your key internal stakeholders updated on the progress made and bring them along the journey.
By ensuring all relevant teams are informed and updated, this will help to identify potential overlaps or risks and areas for collaboration to advance delivery. When working in collaboration with other teams, this also presents an opportunity to develop and enhance your message, and subsequently push your communications out to a wider audience through a variety of channels.
Align teams for streamlined delivery
It is important to align your teams and keep the accountable project leads updated prior to delivery. You can achieve this through internal stakeholder briefings, regular project meetings and ensuring you know who is ultimately responsible for sign-off.
You may not be aware of other important project milestones and key communication dates within the council, so it is important to have those early conversations so you can make informed decisions. Marking key project milestones is a great way to do this, avoiding a space which might otherwise be filled with competing project communications or unexpected challenges major projects often face.
Allow time for sign-off
Taking the above points into account, you will need to factor in a sign-off process with your communications teams before they are set live. Depending on the content, format and regularity this may be a lengthy process, so allow plenty of lead-in time ahead of an announcement.
Generate the excitement
Now is a really exciting time to re-engage your stakeholders and the public as you progress into delivery. Your project’s progress and updates demonstrate change and difference to the people in your Town. There is an opportunity now to be creative with your communications and engagement as you bring your projects to life.
